The NDIS Worker Screening Check in WA

If you want paid work with a registered NDIS provider in Western Australia, this is the one thing you cannot start without. Here is what it costs, how long it takes, and the part most people get wrong, which is whether you can work while you wait.

Checked against the WA Department of Communities on 2026-10-25. Read the official page. Fees and processes change, so confirm anything that matters before you rely on it.

What it costs

The $11 rate covers students on unpaid placements. Concession applies to the Health Care Card, Low Income Health Care Card, Commonwealth Seniors Health Card, Pensioner Concession Card and other Centrelink or Veterans' Affairs cards certifying a Commonwealth health concession. Fees are generally non-refundable, so get the category right before you pay.

How to apply

  1. Online

Log in to DoTDirect, or register if you do not have an account, then choose NDIS in the top toolbar.

  2. Online

Complete the form. Personal details, your employer's ID if you have one, and your identity information.

  3. In person

Prove who you are at a Department of Transport Driver and Vehicle Services Centre, with four identity documents. If you cannot get to a centre, request alternate lodgement inside the DoTDirect application.

The four documents

One Commencement of Identity document, one Primary Use in the Community document, and two Secondary Use in the Community documents. The two-secondary part is what catches people out. If any of your ID is in a former name, bring evidence of the name change as well.

How long it takes

There is no fixed processing time. Some applications clear in days, others take weeks or longer. The usual causes of a delay are a common name, older police records that need to be processed by hand, or the unit waiting on another state's agency.

A long wait is not a signal. The Department states plainly that a slow application does not indicate a criminal record or an adverse outcome. If yours is dragging, that is almost always administrative.

Can you work while it is pending?

In WA, yes, but only if all five of these are true:

An interim bar is the one that stops everything: if you have one, you cannot work while the application is pending. Note the second condition carefully, because it means you cannot start until an employer has actively verified you in the system, and employers have a limited window to do it.

How long a clearance lasts

Five years, subject to ongoing monitoring, which means it can be revoked inside that window if something changes. It is transferable between risk assessed roles, paid or unpaid, and between providers, and it is valid in every state and territory. You do not start again when you change employer.

Who does not need one

Not everyone working near a participant needs a check. You do not need one if your contact with a participant is only incidental, or if you work for a self-managed participant or an unregistered provider. Secondary school students on work experience are exempt when directly supervised by a cleared worker.

That last group matters more than it sounds. A great deal of Perth support work is for self-managed participants, and workers routinely pay $145 for a check they did not strictly need. Ask who the employer is registered with before you apply.

Checking where yours is up to

Log in to DoTDirect and select NDIS. The Screening Unit emails you the outcome, or a request for more information if they need something.

Renewal

The Department's application page does not set out a renewal process, so we are not going to invent one. What we can tell you is that a clearance runs five years from issue, and the practical risk is forgetting the date rather than the process being hard.

That is the part we take off your hands. Register with us and your clearance date sits alongside your first aid, CPR and certificates, and we chase you before any of them lapse rather than after a provider has already cancelled a shift.

Common questions

How much does an NDIS Worker Screening Check cost in WA?

$145 for paid employees, $80 for eligible concession card holders, and $11 for volunteers and unpaid workers including students on placement. Fees are generally non-refundable.

How long does an NDIS Check take in WA?

It varies. Some take days, others weeks or longer. Delays are commonly caused by a common name, older police records that need manual processing, or waiting on another state or territory agency. A long wait does not mean a criminal record or a bad outcome.

Can I work while my NDIS Check is still being processed?

In WA you can, but only if all of these are true: you have applied and your identity has been verified, your employer has verified you as an NDIS worker, your application has not been withdrawn or cancelled, you have no previous exclusion, and you have not been issued an interim bar. An interim bar stops you working.

How long does an NDIS clearance last?

Five years, subject to ongoing monitoring. It is transferable between roles and providers and is valid in every state and territory.

Who does not need an NDIS Check?

People whose contact with a participant is only incidental, and people working for a self-managed participant or an unregistered provider. Secondary school students on work experience do not need one if they are directly supervised by a cleared worker.

How many identity documents do I need?

Four: one Commencement of Identity document, one Primary Use in the Community document, and two Secondary Use in the Community documents. If your ID is in a different name you also need evidence of the name change.

This is a plain summary of a government process, not legal advice, and it was accurate on 2026-10-25. The authority is the WA Department of Communities, and if this page disagrees with them, they are right.
